DESCRIPTION OF WORK:
General Statement of Duties:Incumbent serves as the campus representative at the Denver campus performing specialized services that relate to programs, projects, and services provided by the University. Assists staff, students, faculty, and the public by responding to inquiries, requests for information, and complaints.Analyzes and solves technical and/or systematic problems to ensure individual needs are met.Serves as representative to advise the University community of technical, program, or system procedures.Arranges for consultations with individuals when necessary.Makes recommendations for improvements concerningprograms, projects, and/or services.Reports to the Director.

Supervision Received: General

Supervision Exercised: First Line Supervision

Education: Two years college coursework and/or equivalent experience.

License or Certification: None

FLSA: Non-exempt

Essential Duties and Responsibilities*
Gives information in person or by telephone to students, staff, and the public applying knowledge of University policies, procedures, and programs.

Assists staff, faculty, students, and visitors by responding to inquiries, requests for information, and complaints.

Analyzes and solves technical and/or systematic problems to ensure individual needs are met.

Processes documents requiring office procedural knowledge; reviews for accuracy and completion; obtains signatures; routes appropriately.

Coordinates financial aid process; meets with students to provide financial aid information; reviews documents for accuracy and completion; presents entrance and exit videos; prepares and forwards financial aid documents to main campus for further processing.

Serves as the Veteran's Administration certifying official; distributes and processes required forms; prepares and submits official reports; works with VA officials to accommodate students with disabilities; provides calendar of events to the local Veteran's Administration office; disseminates invoices to Vocational Rehab center; resolves related problems.





Assists students and interacts with various departments in resolving business office and financial aid problems.

Provides information to students (current and prospective) concerning the structure and requirements of their program and helps them design a series of courses which will enable them to meet their goals; processes all necessary paperwork; monitors students’ progress.

As needed, transcribes data from printed copy or rough draft to computer terminal or disks to create, change or update files for computer processing.

Operates various office equipment such as copier, fax machine, typewriter, etc.

Assembles and forwards graduation packets to graduating students; follows up with students to ensure receipt of materials in a timely manner; reviews and verifies that graduation requirements have been met; prepares, processes, and forwards graduation paperwork to the main campus.

Prepares and generates enrollment reports.

Prepares course schedules; consults with faculty regarding teaching availability and class materials; schedules faculty for teaching.Distributes teaching packets to faculty which include time lines for syllabi and textbook orders; collects faculty syllabi; disseminates to appropriate personnel for review and approval; distributes syllabi to main campus personnel.Also assists faculty with directed study assignments, video and guest lecturer requests, etc.

Coordinates student registration.

Coordinates establishment and maintenance of academic as well as office files and records.

Assists in managing office, supervises staff and students, assists in interviewing and hiring office personnel, develops and implements office policies and procedures, coordinates tasks, and works with University departments to meet the goals of the institution.

In Director’s absence, serves as campus representative at Education Fairs, to recruit new students and to promote Webster University.

Makes recommendations regarding the annual estimated expenses and purchases of major items, equipment, furniture, supplies, etc.

Makes recommendations for improvements concerningprograms, projects, and/or services.

Assists staff, students, or visitors by responding to inquiries, requests for information, and complaints.

Composes and disseminates correspondence on own initiative regarding academic policies and procedures.

Requisitions supplies, printing, maintenance, etc.

Labels and shelves library books; updates library cards; checks in and checks out books as necessary.

Types/wordprocesses syllabi, reports, memos, letters, library cards, and other department information.


Ensures classrooms are maintained in proper working order.

Performs other duties as assigned.

QUALIFICATIONS FOR APPOINTMENT
Supervisory skills.

Organizational skills.

Knowledge of University policies, procedures, and programs; recordkeeping polices and procedures.

Knowledge of Financial Aid policies, procedures, programs, and related federal regulations; VA policies and procedures.

Knowledge of office practices, procedures, Business English, and arithmetic.

Knowledge and experience in the use of administrative software.

Skill in the application of modern office techniques and practices.

Ability to operate various office equipment such as copier, fax machine, and typewriter.

Ability to work well with others and to assist students, staff, faculty, and the public cooperatively and courteously.

Detailed orientated.

Above average/wordprocessing and data entry skills.

Physical Requirements: Within the general range of an office environment.
